This stuff is way too complicated

Hello all, we're a small 8 person company. We have 2 needs:

1.) A way to log all the contact info of our clients

2.) A way to send a simple email asking for a follow up that is addressed to the primary contact email address and includes the property name/address. This email should be triggered by us "closing" the account, aka we got paid and all deliverables are out.

We currently have Salesforce, and we are not data scientists with degrees in this stuff. I cannot for the life of me get Salesforce to do this. Every action requires 1hr-1day of googling just for the stuff I did not to work.

Salesforce is just far too advanced for what we need. I'm sure that capability exists in Salesforce, but I have no way of communicating how to replicate my actions or teach others.

Is there another CRM or software out there that we should be using instead? We are integrated with M365 btw.
