( votes)Microsoft Dynamics 365 CRM is an amazing solution for managing customer relationships. But as businesses scale, the amount of customer data in the system grows exponentially. This starts to jeopardize Microsoft Dynamics 365 CRM Document management capabilities.
While managing large amounts of attachments in Microsoft Dynamics 365 CRM, businesses can face challenges like storage limitations, high storage costs, poor navigation for accessing attachments, searching records taking a lot of time, and a lack of scalability.
Meet Sam, a sales manager who, as a solution to overcome the above challenges, stores and manages Microsoft Dynamics 365 CRM documents on SharePoint. But this solution came with the challenge of confidentiality and poor document security, as Microsoft Dynamics 365 CRM’s native SharePoint integration does not allow syncing of security privileges between the two systems. This can put the documents stored on SharePoint at risk of unauthorized access.
Realizing this is a problem Sam started to look for ISV solutions to sync record permissions to associated record folders on SharePoint to control and limit access to record documents on SharePoint.
During his research, Sam learned about Inogic’s SharePoint Security Sync, a Microsoft AppSource preferred solution that enables businesses to associate SharePoint document folders to Microsoft Dynamics 365 CRM and also automatically sync record permissions from Microsoft Dynamics 365 CRM to SharePoint.
Previously, when Sam shared a record with his sales representative, Rhea, who had user-level access, she was unable to view the records in SharePoint. Unless Sam manually shares the associated record folder with Rhea in SharePoint and also manually grants the security privileges, Rhea cannot access the record
Here is the record visible to Sam in SharePoint but not to Rhea even though he had given the access privilege of the record in Microsoft Dynamics 365 CRM.
But with SharePoint security sync, the user access privilege gets automatically replicated in SharePoint whenever there’s a change in the CRM
In the above image, Rhea now has access to the record in the SharePoint as well. Sam did not have to manually give record permissions in SharePoint.
Likewise, if Sam assigns an account record to Rhea in Microsoft Dynamics 365 CRM for managing the account relationship due to business reasons, Sam will no longer be able to see the assigned record in Microsoft Dynamics 365 CRM. Additionally, he won’t have access to view the associated record folders in SharePoint.
But the assigned record will be visible to Rhea in Microsoft Dynamics 365 CRM and SharePoint as well. All thanks to SharePoint Security Sync’s useful security synchronization feature.
So, this is how SharePoint Security Sync helped Sam and his team enhance document security and data confidentiality by maintaining the same level of security for documents stored on SharePoint.
