User Review
( votes)Managing multiple projects often means constantly updating stakeholders with the latest information on timelines, budgets, and client feedback. For many project managers, this usually involves digging through CRM systems for updates, manually copying details, and attaching them to emails, a tedious and time-consuming task. There’s always the added pressure of ensuring the shared information is accurate and up-to-date, making the process not just inefficient but also stressful.
Fortunately, a powerful feature has emerged that transforms this workflow: the integration of Copilot for Sales with Outlook and Dynamics 365 CRM. This tool enables users to access and share CRM data instantly while composing emails, without ever leaving the Outlook interface.
From Manual to Seamless
Instead of toggling between systems and worrying about outdated data, users can now simply type a forward slash (“/”) while drafting an email. Copilot for Sales will instantly suggest the most recent CRM records. These records appear as adaptive cards within the email body, displaying essential information like project status in a clean, visual format.
Even better, these cards automatically update, eliminating the risk of sharing stale data. This not only streamlines communication but also boosts confidence in the accuracy of every client or team update.
Step-by-Step: How It Works
To get started, follow these steps to enable and use this feature within Outlook:
- Log in to Microsoft Outlook.
- Click on the More apps’ icon in the side panel > Click on Copilot for Sales App.
- Go to the settings
- Click on Forms. You’ll notice that sharing records is disabled by default.
- Enable the Quick-share records toggle in Outlook.
- In the email body, type a forward slash (“/”) to view all recent files and records. You can then select from the list.
- Choose the record from the list.
- After selecting the record, Copilot for Sales will generate a card displaying basic details of the record.
- You can also regenerate the card details or copy the card for future use.
- You can open these records in Dynamics 365.
- In the screenshot below, you can see the user being redirected to Dynamics 365.
- You can add multiple records, files, and more.
Conclusion
In conclusion, the integration of Copilot for Sales with Dynamics CRM 365 in Outlook simplifies communication and boosts efficiency for sales teams. By allowing users to easily share up-to-date CRM records directly in emails, it saves time, reduces errors, and ensures everyone has the most current information. This feature enhances collaboration, helps teams make better decisions faster, and ultimately leads to improved productivity and stronger results across the organization.
