Generation of reports at planned frequencies in desired formats is integral to any business operation. Microsoft Dynamics 365 users generate reports both on a planned and ad-hoc basis. However, the process of generating reports in Dynamics 365 CRM and mailing them is manual. The problem can be further compounded by unsuitable file formats, poor collaboration, and even errors.
Exporting Microsoft Dynamics 365 CRM reports is a necessary task for businesses. But, the process can require multiple clicks to export a report in the desired format and then send it via email.
As you can see in the below example, it takes approximately 15 clicks or more when we try to manually export and mail Dynamics 365 CRM reports to customers:
Click 1: Open the opportunity record.
Click 2: To view the list of reports, click on the “Run Report” button.
Click 3: Click the desired report “Lead Source Effectiveness” This will display the reports in another window (Extra Clicks: if you have set up criteria to select the report then one more click).
Click 4: Click the “Save” icon.
Click 5: Select the report format (e.g. Excel Worksheet) this will download the report.
Click 6: Go back to the original opportunity record.
Click 7: Open a new email activity record.
Click 8,9,10: Write an email or (Additional Clicks) use an existing email template.
Click 11: Click “Attach File” this will display the attachment sub-grid.
Click 12: Click above the attachment sub-grid.
Click 13: Click “New Attachment”.
Click 14: Select the Excel Worksheet of the report that we just exported.
Click 15: Click “Send” to mail the report as attachments.
