Small (1-2 person) event planning business

Looking to help my wife who runs her event planning business.

Most of the activity for her business is in gmail as well as calls, texts and a good social presence on IG, FB and other platforms.

She is extremely change-adverse when it comes to introducing any new process or tool to the way she operates. Any kind of heavyweight CRM is going to be completely unused by her. I'm looking for something ideally that seamlessly works with her current way of doing things while collecting data in the background. She's the moody talent and needs support on the business-side.

Looking for something very lightweight that starts out extremely simple and can scale with the users interest and capacity as well as the expansion of the business.

I'm not super familiar with CRM software myself so I'm not even sure what features I need or the right questions I need to ask, but let's start with:

  • Low friction collection of communications and connecting the dots and a way to share the data between 2 users easily. One user just does the usual communications and the second user captures and shapes the data and presents it in ways that wows the user creating the data so user one gets hungry for more ways to use said CRM
  • Way to track source of leads/customers to ensure we're spending marketing dollars best
  • Some tracking/management of vendors and contract workers
  • Easy access to lists of leads and customers for newsletters, other comms, etc.
  • Reminders for following up on leads/customers

Currently using wavapps for accounting/invoicing. BlueCamaroo has integration with waveapps and claims to integrate with gmail, but all the doc I've found is out of date and not clear how that works. Also unclear if they work with social platforms too or way to scrap texts, call data from phone.

Other lightweight platforms like Streak seems to slickly integrate directly with gmail, but unclear if that has any way to manage data easily by a second user or to present views to users inbox. Also unsure if there's any integration with social platforms or text, phone call data.

Would love to hear from both event planners' experiences with different platforms as well as CRM professionals and your opinions. Thanks!
