( votes)Online training business : This is a quick demo to show how your online training business can start generating leads automatically for you. In this particular example, I am demonstrating a Lead Magnet Delivery Automation for an online course (e.g. SAP online training) that this customer is selling on their website.
Use Case: The website offers a download link to course details which then triggers an automation sequence once they fill in the form and clicks the submit button.
The end goal of this automation is to get the visitor to book a FREE consultation with a team member. There is also an option on the website for the visitors to book a FREE consultation without going through any download link.
SO this is the automation sequence that runs depending on how the visitor lands on the website. I will just go through the steps that take place as the visitors request flows through the various steps.
STEP 1 – First what happens is a notification is sent to the admin team to alert them that someone has submitted a form. It’s a handy little optional notification for the team to be aware of some activity that is taking place on the form.
Next we are subscribing this contact to our master contact list.
We are then adding a handy little tag on the contacts record to indicate that this person is interested in SAP.
Next we are adding this person on the first stage in our onboarding process so that we can see easily on what stage this person is on the onboarding process – in this particular instance they will be on the first stage which we have called “contact made” stage.
STEP 2 – Next there is a conditional flow which essentially checks if the visitor has landed on a page containing the free consultation calendar I.E they have clicked on the FREE consultation link to book their free consultation. In which case, they would follow the YES path and IF NOT, they would follow the NO path which in this case would mean that they have requested a particular download for a particular course.
We will look at what happens on both the options which eventually leads to merging the same flow as you will see.
Let’s look at the YES path.. as you can see, there is a WAIT action which in this case means that if the person has got through to the calendar page, we are waiting 1 day before progressing to the next stage in the automation.
STEP 3
After 1 day, the next stage is the user being sent a reminder email if they have not booked an appointment yet. Show email by clicking on it and clicking “edit”
The next stage is again another WAIT action for 1 day before any action is undertaken. Then as you can see the flow merges into one with a third follow up email being sent to the visitor if they haven’t booked an appointment.
If we now just go up a little and look at the NO path so that we can then continue where we left since the flow is now merged.
In the NO path as mentioned earlier, we know that the visitor has arrived at this stage of the automation because they had requested a particular download of the course details. Therefore, the “Course enquiry response” email is sent with the download link of the course details along with a link to book the FREE consultation. Remember, the goal of this automation is to get the visitor to book the consultation.
STEP 4
The next stage is a 15 minute wait action to give the user enough time to read the email and follow the link in it to book the FREE consultation. If within the 15 minutes the appointment is not booked, another email is sent with the same download link and a reminder to book the FREE consultation.
Thereafter, there is a 1 day wait action and the flow then continues with where both the paths merged and a series of 3rd, 4th and 5th email reminders are sent with appropriate wait actions in the middle for the visitor to book the FREE consultation.
You may be wondering how the system checks if the appointment is made and to then stop sending the reminder emails… well this is where this GOAL action comes to play. If at any point in the above stages in the flow, the contact makes an appointment, this action is triggered and the contact skips all the reminder emails and continues from here on. This way, reminder emails are not sent unnecessarily as that would be really annoying having to receive email despite an appointment is already booked. As you can see, here we are checking if the contact has a calendly tag assigned to their record. This by the way is possible because the system allows us to integrate with the calendly system which is what is being used as a meeting scheduling tool. As soon as this contact books an appointment, a tag is assigned to the contacts record automatically which then makes the sequence jump to this action. The contacts stage is updated in the CRM to “consultation booked” and a confirmation email is sent to the contact.
FINAL STEP
If however, the contact reaches the GOAL step step and the appointment is still not booked after 5 reminder emails, a notification is sent to the admin for manually follow up via perhaps a phone call and the automation ends.
