Relevance Search is the latest feature in the Dynamics 365 CRM trial that is easy to use, fast, and gives accurate results. Relevance Search bar will always be available at the top of every page in our app.

Let’s see how to enable “Relevance Search” feature in Dynamics 365 CRM.

Turn on the new Relevance Search experience

1. Navigate to https://admin.powerplatform.microsoft.com/
2. Select the Environment and click on “Settings”.
3. Expand the Product settings and click on Features.
4. Turn on the “Relevance Search” setting present in the Search area as shown below:

Once you enable the feature, you will see a Search Bar on every page and you will notice that the search icon has disappeared from the app.

Here, you can see recently searched records and recently accessed records. You can also view suggested search results as you type any letter in the search bar, you will get all suggested results which are based on the primary fields of an entity record.

For Example: As shown in the below screenshot, recently searched results are “adventure” and “a datum” and the rest are recently accessed records.

Once you type the keyword and press the “Enter” it will navigate to Search Result where you can find top results related to the keyword.

Here you can see below results are related to the“Adventure” keyword.

This is the overview of “Relevance Search” feature in Dynamics 365 CRM, now we will see the Enhanced Relevance Search feature.

Currently this feature is not available for everyone, if you want to access this feature; you will first need to update the Dynamics 365 CRM to the 2021 release Wave 1.

There are two options from where you can perform the action on searched results.

Option 1:

Enhancement in Relevance Search-you can Assign, Share and Email a Link of a record from Relevance Search.

Assign: User can assign searched record to another user.
Share: User can share searched record with another user.
Email a Link: User can send a link of searched record to another user.
Relevance Search also work on Activity Entity, in the below screenshot you can see Appointment and Phone Call Records and next to them are button to perform actions on it.

You can use the Complete, Cancel, Set Regarding, Assign, Email Link actions.

Option 2:

You can perform the same action on the searched result from the Search Result page as shown below. On hover of record, you can see the actions, and by clicking on it the resection action window will pop-up.

Let’s take a real-time scenario where you can use this feature, assume that you are a salesperson and you working on your lead, you want to assign one of your leads to another salesperson without losing context. In such a case, you can simply search that lead in Relevance Search and assign that lead to another salesperson from there.

In this case the Assign Window pops-up and once you click on the Assign button, you can see your own lead on which you are currently working

For Example:

Currently, you are working on “Interested in some new cell phones” and you want to assign the “Follow-up with information regarding our promotions” lead to a user called Linn, you can search the lead with their first name i.e. “Gabriele” and click on “Assign”, the lead will be assigned to the user Linn.

Once you click on Assign, you can see the“Interested in some new cell phones” lead on which you are working.

Conclusion

You can perform actions on any searched record from anywhere with Dynamics 365 CRM without losing the context of the currently opened record.
