( votes)We’ve heard that NetSuite reps have said things like, “Oh, Acumatica doesn’t put you on automatic updates. You will have to manually update the system and you’ll fall behind versions. You don’t want to end up on a retired version, do you?”
Acumatica has the option of providing flexibility when it comes to updates and upgrades. And even NetSuite has some flexibility on upgrades on their dedicated tiers. But it is true that NetSuite customers in the shared environments get automatic updates. Now, to be more competitive, Acumatica will be doing something similar.
Automatic Updates
As of April 1, 2020, new customers on the Small Business level of an Acumatica Edition will get put on an automatic update plan. Existing customers that purchased before that date will not be affected. Right now, existing customers cannot opt-in to this automatic update/upgrade service, but it is likely that it will be announced in the future.
Typically, there is going to be a maintenance schedule of once a month, and customers will be alerted to the schedule at least 30 to 60 days in advance. If needed, customers can request an earlier update.
Automatic Upgrades
Upgrades are a little bit of a different story. There are two upgrade releases per year. Again, Small Business level customers that purchase after April 1, 2020, cannot opt-out of upgrades. You will have a much longer notice period. Instead of 30 to 60 days, you will get at least 120 days’ notice. You will also get a free preview sandbox you can activate on the Acumatica portal. Your Acumatica Partner can create the sandbox for you, so you can see what the new version looks like with your data and run tests. You can be trained on the new release in advance, instead of after it goes live.
Customers with a lot of customizations to their Acumatica systems are generally the wariest of upgrades. But normally these companies are not running the Small Business level of Acumatica anyway. So that is something to consider before deciding which level and edition of Acumatica you will choose.
The Small Business level allows only 5 users, 1 tenant, and a maximum of 5,000 invoices a month transaction level. Most companies we work with choose the Advanced level, with unlimited users.
