Need to Transition to Working Remotely? Microsoft Teams is the Solution

In the face of COVID-19, businesses throughout the United States are transitioning their employees to remote-based work.

For some organizations, a remote workforce is nothing new. For many businesses, however, employees working from a shared office space is all they know. Trying to coordinate for dozens (or hundreds) of employees to work remotely can be a challenge.

Fortunately, Microsoft Teams makes it easy for employees to stay connected, collaborate from a distance, and keep up to date with ongoing projects. Below, we’ll take a look at what Teams has to offer, including key features such as chat, video meetings, and more.

Microsoft Teams: An Integrated Solution for Businesses Using Dynamics 365 CRM

Because it’s part of the wider Microsoft Office 365 ecosystem, Teams integrates seamlessly with a range of other Microsoft products, including Dynamics 365 for Sales (CRM), Outlook, SharePoint, and more.

If your organization is set up with Dynamics 365, your employees will already be accustomed to sharing documents via OneDrive, collaborating with Microsoft To Do, and using other Microsoft 365 applications to work together on various projects. But with Microsoft Teams, collaborating remotely reaches a whole new level. Teams enables employees to track each other’s progress, communicate on the fly, and connect via video conferencing technology.

Teams for Desktop, Mobile, and Web

The Microsoft Teams client can be accessed via a desktop application, a mobile application, or via the web. The mobile app can alert team members when a conversation is happening and deliver push notifications for upcoming meetings, keeping employees in the loop even when they’re not in front of their computer.

From the desktop or web-based application, a user can access their Calendar to see upcoming meetings, view Chats, access the Teams they belong to, and browse relevant files. With a couple of clicks, you can update your current status to let other team members know what you’re working on.

Setting Up Meetings in Teams

You can schedule a video meeting directly from the Calendar screen in Teams. When you go to create a new meeting, you’ll have the option of inviting an entire Office 365 Group or individual team members. The Teams Scheduling Assistant lets you quickly check to see when attendees are free. Once you click Send, attendees will receive a notification in Teams as well as an email alert.

It’s also easy to set up a Teams meeting directly from Outlook: just click the Teams button in the top ribbon when scheduling a meeting, and Outlook will insert a Teams link automatically.

Microsoft Teams Chat

The Teams Chat feature is incredibly powerful. In addition to keeping all of your chat conversations in one place, Teams Chat lets you view another team member’s position within your organization’s structure, access shared files, search through your message history, and quickly create group chats with multiple team members.

Teams for Meetings

Teams will send you a push notification when a meeting is starting, ensuring that you don’t forget to join the call.

When you join a Meeting, you’ll be able to chat via video with the other attendees. But Teams Meetings is more than just a replacement for Skype. It includes added features such as automatic captions, a background blur effect, screen sharing, whiteboard sharing, and even the ability to record calls. Plus, Teams gives you the ability to invite up to 1,000 attendees to a standard meeting, making it a great option for even the largest organizations.

Teams Channels

Another key feature of Teams is the Teams Channel. Based on which Office 365 Groups you belong to, you’ll have access to the Group’s corresponding Teams Channels. Each Channel offers group chat functionality as well shared access to documents. It’s also easy to customize Channels with quick access to documents and files taken from both other Microsoft Office 365 applications as well as third-party software.

Work Remotely with Microsoft Teams

Teams offers an incredible amount of flexibility and a rich feature set, making it easier than ever for an organization to go fully remote during COVID-19 and beyond.
