In this culminating portion of our blog series on views, charts, and dashboards, we will discuss how to share them with others in your organization. You might be asking yourself why you would want to share views charts or dashboards with others. How will others benefit from this? The reason is simple – you might save them a ton of time and they wont have to re-invent the wheel. If there is a particular view, chart, or dashboard that you find beneficial and it might be beneficial to others as well, why not share the knowledge? In previous blogs, we have discussed creating personal views, creating personal charts, and creating creating personal dashboards. We will now discuss sharing them with others in your organization.

Sharing Personal Views

If you have a particular view that you’ve created that you think would be beneficial to one of your co-workers, you might want to share it and we’ll show you how easy it is to do.

Go to Advanced Find by clicking on the funnel icon in the ribbon at the top right of the screen.

Once you are in Advanced Find, you need to choose the view you want to share. (You can only share views that you have created or that you own).

Select the view that you want to share, and click on share.

Once you’ve clicked share, the Look Up Records screen will pop up. Type in the name of the person that you want to share your view with, select them, and add them.

From there, you can decide what rights you wish to give that person. You can choose to give them rights to read, write, delete, assign, or share your view.

Sharing Personal Charts

Once you are in the chart that you wish to share, click on the 3 dots in the upper righthand corner. From the drop down menu, choose share.

From here, it is the same experience. The Share User Chart window will pop up and you will need to select Add User/Team.

From the Lookup Record, choose who you want to share your chart with and what rights you want to give them.

Sharing Personal Dashboards

Sharing dashboards is even more straightforward than sharing views or charts. Once you are on the dashboard you want to share, there is a share dashboard button to click on.

From there, it is exactly the same experience. You must chose who you want to share the dashboard with and what rights you want to give them.

Important to note that in order to share a dashboard, you must first make sure that each component (views/charts) are shared with that particular user as well. Double check in Advanced Find that the user can see those views or charts for that table. Otherwise, they may not be able to view the shared dashboard.
